BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The World Food Programme (WFP) is the world's largest humanitarian agency, working towards achieving a world with zero hunger. Since the beginning of the Gaza escalation on 7th October, WFP set up operations to assist in the response. To respond to the hunger crisis unfolding in Gaza. To support the humanitarian response and the increasing level of needs, the Logistics Cluster was activated in Palestine on 15 October 2023. The Logistics Cluster in Gaza aims to support the efforts of the humanitarian partners in providing information management and coordination services, as well as facilitating the provision of common logistics services, as required.
The Logistics Associate (Information Management) will act as a focal point for collecting, analysing and disseminating logistics information, in close coordination with logistics and information management (IM) personnel of other humanitarian organisations and counterparts involved in the humanitarian response.
ACCOUNTABILITIES/RESPONSIBILITIES:
Under the direct supervision of the Logistics Officer (Cluster), the incumbent will be responsible for the following:
- Produce logistics coordination products and reports in standard formats, including: situation updates, daily/weekly reports, dashboards, presentations, meeting minutes and ad hoc reports.
- Liaise with humanitarian community stakeholders, including UN, INGO and NGOs to gather information to produce reports, ensuring that challenges and concerns relating to the logistics operation are well represented.
- Gather comprehensive data and information on the overall logistics situation, including logistics procedures and bottlenecks from partners and other clusters. This may require the creation of surveys as well as direct communication and follow-up with partners.
- Support in the creation of quantitative and qualitative data collection initiatives using tools such as Kobo, ODK and MoDA.
- Support, as required, in drafting donor proposals and reports, collating key operational information and providing support as required.
- Draft, consolidate, and share key logistics information and procedures, such as Concept of Operations and Standard Operation Procedures ensuring they are regularly revised/updated if required. Inform relevant stakeholders on commodity tracking reporting procedures.
- Identify data sources and create routines for data cleaning and wrangling. Lead on data management for the logistics unit,
- Create and maintain a data repository with structured data from key sources ready for use in analysis and visualization, including the exploration of alternatives for storing large datasets in databases in order to minimize the use of spreadsheets.
- Support content management of Logistics country operations webpage, ensuring documents are up to date, accurately formatted and easily accessible to partners.
- Work closely with other humanitarian partners to ensure updated logistics information is disseminated to all focal points as necessary and provide updates on logistics bottlenecks.
- Regularly update and review the Logistics Cluster contact list, mailing list and WhatsApp groups as per the standard processes in place.
- Maintain professional communication channels with Cluster partners and ensure emails receive timely responses, liaising with operational colleagues as needed.
- Perform other duties as required.
Skills
QUALIFICATIONS & EXPERIENCE REQUIRED:
EDUCATION:
Completion of secondary school education. A post-secondary certificate/Bachelor’s degree in a relevant area, such as business administration, computer science, technology, supply chain management is desirable.
EXPERIENCE:
Six years progressively responsible related work experience in data analysis, database concepts (including SQL), humanitarian contexts, or data management activities like data cleaning, and reporting or any other related experience in the relevant field.
KNOWLEDGE & SKILLS:
- Experience with data analytics and visualization tools including Tableau and Power Query
- Experience with SQL, Python and other languages/tools is an advantage
- Proficient in MS Office package, particularly in Microsoft Excel and PowerPoint is essential.
LANGUAGES: Fluency (Level C) in both oral and written communication in Arabic and English is required
